Privacy Policy

Cale is a staff-scheduling tool for tutoring centers, available at usecale.vercel.app. This policy explains what information Cale accesses, how it is used, and the choices you have; it applies to the Cale web application and this website.

When you connect your Google account, Cale requests read-only access to your Google Calendar using the calendar.readonly scope. Cale reads Google Calendar event information representing student sessions solely to calculate student-to-teacher ratios and staffing demand in real time, so it can generate an appropriate weekly schedule. Cale requests only the access it needs, and it does not modify, create, or delete any events on your calendar. Your calendar data is read on demand and used only to compute demand and build a schedule: Cale does not store, copy, or retain your Google Calendar data on its servers, it does not sell your data or share it with third parties, and it does not use your Google data for advertising or any purpose other than the scheduling feature you requested. Cale's access to and use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

All data exchanged between your browser, Cale, and Google APIs is transmitted over HTTPS using TLS encryption. Access to application data is restricted through appropriate access controls and authorization, and staff availability submissions are accessible only to the center administrator associated with that account. Cale follows the principle of least privilege by requesting only the minimum Google Calendar permissions required to provide its scheduling functionality. Google Calendar data is processed only in memory while generating schedules and is not stored, copied, or retained on Cale's servers after processing. Cale is hosted on Vercel, which provides secure infrastructure and encrypted network communications.

Separately from Google data, staff members submit their weekly availability through a shared link, entering a personal PIN, the days they can work, and their hours. Staff availability PINs are used only to verify staff access to the availability submission form and are visible to the center administrator who manages the Cale account. Information sourced from the availability form is used only to build your center's schedule and is visible to the center administrator; it is not used for advertising and is not shared with third parties.

You can disconnect Cale from your Google account at any time within the app by opening Settings (the gear icon in the top right) and pressing Disconnect; to fully remove Cale's permissions, visit your Google Account permissions page. Once disconnected, Cale can no longer read your calendar. We may update this policy as Cale evolves; the "last updated" date above will always reflect the current version. Questions about privacy?
